Opinnäytetyön kehittämisprojektina oli suunnitella ja toteuttaa tapahtumamanuaali Laurean restonomiopiskelijayhdistys Lare ry:lle. Tapahtumamanuuali edesauttaisi yhdistystä tapahtumien järjestämisessä, toimien käyttäjästä riippuen joko ohjekirjana tai muistilistana ta-pahtumaprosessin aikana. Manuaalin avulla Lare ry:n järjestämien tapahtumien laatu kasvaisi, virheiden mahdollisuus laskisi ja tapahtumaprosessi helpottuisi.

Laurean restonomiopiskelijayhdistys on vuonna 2016 perustettu opiskelijajärjestö, jonka jäseniksi voivat liittyä Laurea-ammattikorkeakoulun restonomiopiskelijat. Yhdistyksen tavoite on tuoda esiin matkailu- ja ravitsemusalan monimuotoisuutta, edistää restonomiopiskelijoiden yhteisöllisyyttä sekä luoda mahdollisuuksia verkostoitua niin muiden opiskelijoiden kuin työelämän edustajienkin kanssa. Tapahtumien järjestäminen on yhdistyksen ensisijainen keino markkinoida itseään sekä toteuttaa tavoitteitaan. Olemassaolonsa aikana yhdistys on järjestänyt useita tapahtumia, mutta siltä on puuttunut selkeät käytännöt, joilla tapahtumia tuotetaan.

Opinnäytetyön tietoperustana on tapahtumajärjestämisen kriittiset pisteet. Näitä pisteitä ovat tapahtuman suunnitteluvaihe, toteutusvaihe, budjetointi, tapahtumaturvallisuus sekä tapahtuman markkinointi. Kehittämisprojektissa on syvennytty edellämainittuihihin tapahtumaprosessin vaiheisiin, joiden pohjalta on lähdetty muodostamaan tapahtumamanuaalia.

Tutkimusmenetelmänä on käytetty haastattelua. Haastateltavana oli Laurea Entrepreneurship Society ry:n puheenjohtaja. Yhdistyksen edustajaa haastateltiin, koska yhdistyksellä on olemassa olevat selkeät toimintatavat tapahtumien järjestämisen osalta. Haastattelu toteutettiin teemahaastatteluna. Haastattelun teemoina oli opiskelijatapahtuman suunnittelu, toteutus, markkinointi, turvallisuus sekä opiskelijatapahtuman järjestämisen erityispiirteet.

Kehittämisprojektin tuloksena syntyi Lare ry:lle suunniteltu ja toteutettu tapahtumamanuaali. Manuaali pitää sisällään tapahtumajärjestämisen kriittiset pisteet sekä tehtävät. Tehtävät on jaoteltu ennen tapahtumaa, tapahtuman aikana ja tapahtuman jälkeen tehtäviksi. Tehtävälistauksen vierestä löytyy tarkistussarake, johon käyttäjä merkitsee tehtävän tehdyksi.

Manuaali on suunniteltu käytettäväksi joko sähköisessä muodossa tai paperiversiona. Koska tuotoksen on tarkoitus palvella käyttäjäänsä tapahtumasta riippumatta, sisältää se myös tehtäviä, jotka eivät jokaisen tapahtuman kohdalla ole relevantteja. Käyttäjän vastuulle jää arvioida, mitkä tehtävät koskettavat työn alla olevaa tapahtumaa.

Tarvittaessa manuaalia pystyy jatkokehittämään ja se mukautuu käyttäjänsä mukaan. Lare ry:n toiminnan muuttuessa ja kasvaessa voidaan manuaalia muokata paremmin vastaamaan käyttäjän tarpeita.

Purpose of this Bachelor’s thesis is to plan and produce an event manual for Laurea’s Hospitality Management Society, Lare ry. The event manual would help the society to produce its events easier. The event manual can be used as an instruction when producing the event or it can be used as a checklist, to remind the event manager to do everything that must be done for the event.

Laurea’s Hospitality Management Society is founded in 2016 by a group of Hospitality Management students. All the Hospitality Management students in Laurea can join to be a member. The society’s goal is to create possibilities for students to network with other students and employers. Organizing events for students is the society’s most important way of marketing itself. Lare ry also do a lot of co-operation with other student societys in Laurea. Since 2016 Lare ry have organized many events but they’ve never had a policy when it comes to event management.

Theoretical framework is based from key elements of event management. Those key elements are planning, implementation, budgeting, event safety and event marketing. The final manual is based on those key elements that have been used in this development project.

This thesis’s main research method was theme interview. For this development project the Chairman of Laurea Entrepreneuship Society was interviewed. LaureaES is having a policy for event management. Themes of the interview were planning, implementation, budgeting, safety and marketing of events for students.

Outcome of this development project was the event manual that was planned and produced for Lare ry. The manual includes all of the key elements of event management and tasks that need to be done. All the tasks have deadlines and they are separated in different sections: Before the event, during the event and after the event. There is also a checklist where all the tasks that are done will be marked. The manual can be used online or in printed format. The manual user must be aware of the event they are managing to be able to pick up only the tasks that are relevant that come to the event.

In the future, the event manual can be developed and it changes with its users. All users are able to make changes in it. If the society’s action changes and grows, the manual can be modified to address the need of its user.
